Step 1: Check the Basics

  • Power: Ensure the printer is turned on and properly plugged into a power source.
  • Connectivity: Check if the printer is connected to your computer via USB cable or is connected to the same Wi-Fi network as your computer.
  • Paper and Ink: Verify the printer has paper loaded and sufficient ink or toner.

Step 2: Restart Devices

  • Restart your computer.
  • Turn off the printer, wait for 10 seconds, and turn it back on.
  • This can often resolve temporary glitches affecting connectivity.

Step 3: Verify Printer Status

  • On Windows:
    1. Go to Settings > Devices > Printers & scanners.
    2. Ensure your printer is listed. If it shows as “Offline,” right-click the printer and select Use Printer Online.
  • On Mac:
    1. Open System Preferences > Printers & Scanners.
    2. Check if your printer is listed and shows as “Idle” or “Ready.”

Step 4: Reconnect the Printer

  • For USB printers, unplug the cable and plug it back in securely.
  • For network printers, ensure your computer is connected to the same Wi-Fi network.
  • You may try removing the printer from your computer’s printer list and adding it again:
    • On Windows, select the printer in Printers & scanners and click Remove device, then click Add a printer or scanner.
    • On Mac, select the printer in Printers & Scanners and click the minus (–) button to remove it, then click the plus (+) button to add it again.

Step 5: Run Printer Troubleshooter (Windows only)

  • Open Settings > Update & Security > Troubleshoot.
  • Select Printer and run the troubleshooter.
  • Follow the prompts to detect and fix issues automatically.

Step 6: Update or Reinstall Printer Drivers

  • Visit the printer manufacturer’s website to download the latest drivers for your printer model.
  • Install the updated drivers and restart your computer.
  • This helps resolve compatibility and driver-related issues.

Step 7: Check Firewall and Security Software

  • Sometimes firewall or antivirus software blocks printer connections.
  • Temporarily disable these programs and try printing again.
  • If successful, add the printer and related software as exceptions in your security settings.
